Records Management Specialist
Job Overview
This role is responsible for managing the entire document lifecycle, ensuring compliance, security, and efficient distribution of documents. The ideal candidate will have experience in document control systems, version management, and maintaining confidentiality while supporting internal and external audits. Strong organizational skills, attention to detail, and the ability to coordinate with multiple departments are essential for success in this role.
Key Responsibilities
- Oversee the receipt, registration, classification, numbering, archiving, and distribution of documents
- Ensure version control processes are followed to maintain document accuracy and compliance
- Track the document approval workflow and facilitate timely review and circulation
- Enforce confidentiality policies, managing access permissions for sensitive documents
- Maintain and optimize the document management system, ensuring stability and efficiency
- Implement digital document solutions to enhance workflow automation and security
- Support document retrieval for project teams, contractors, and auditors as needed
- Assess document retention value and oversee proper disposal or archiving
- Ensure compliance with company policies, industry standards, and regulatory requirements
- Provide training and support on document control best practices for internal teams
Job Requirements
- Bachelor’s degree in archive management, information management, engineering management, or a related field
- Native Chinese and fluency in English as a working language
- Strong experience in document control or management, preferably within large-scale projects
- Proficiency in document management systems such as SharePoint, Wrench, Documentum, or Aconex
- Strong knowledge of document lifecycle management, compliance policies, and version control best practices
- Excellent organizational, coordination, and communication skills
- Detail-oriented mindset with the ability to enforce strict confidentiality protocols
