Temporary Executive Assistant / Management Office Assistant
For our client, a semi-public organisation in the Netherlands, we are looking for a Temporary Executive Assistant / Management Office Assistant to support senior leadership within an academic and legal environment.
This is a short-term, on-site assignment focused on providing high-level administrative and organisational support during a period of transition. You will work closely with management, academic staff and central services, ensuring smooth daily operations, events and executive coordination.
The role is ideal for an experienced executive assistant who is hands-on, service-oriented and comfortable operating in a structured, institutional environment.
On-site | Tilburg, Netherlands | 32–40 hours per week
Responsibilities
Provide full executive and secretarial support to senior stakeholders within the department.
Manage daily administrative tasks including correspondence, documentation, archiving and office coordination.
Act as the first point of contact for internal and external enquiries related to academic, educational and research activities.
Coordinate onboarding and offboarding processes (workspace setup, equipment, access, welcome packages).
Organise and manage business travel and accommodation for professors, executives and special guests.
Support meetings and events: room bookings, catering, logistics, guest reception and follow-ups.
Process invoices, track expenses and maintain accurate financial overviews.
Coordinate with HR on team activities, wellbeing initiatives and internal events.
Support facility-related tasks to ensure well-functioning workspaces and shared environments.
Requirements
Higher professional or academic education level (HBO / WO or equivalent).
5+ years of experience in a similar executive assistant, management assistant or secretarial role (7+ years preferred).
Proven experience working in a semi-public, academic or institutional environment.
Strong organisational skills with high attention to detail and discretion.
Ability to work independently, proactively and in a solution-oriented manner.
Excellent communication skills in Dutch and English.
Solid experience with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint).
Availability to start 26 January 2026 and work on-site at least 4 days per week.
